Set your availability and coverage
Your availability decides what customers can book. Set your working hours, block days off, and choose your coverage area so you only get booked when and where you actually work.
Share your booking page
A booking page is only useful if people find it. Pin your link to Facebook and Google, print a QR sticker for the van, and send it to the customers you already have.
Verify your email
Verifying your email is the one prerequisite for almost everything else: your booking page accepting bookings, Stripe, Google Calendar, missed-call text-back. Two minutes, done once.
Set your logo and branding
Upload your logo once and it appears across your booking page, invoices, customer emails and the QR sticker, so everything you send out looks like your business and not a TradeBooked template.
Set per-service pricing and booking add-ons
Each service has its own price, duration and questions, and you can offer booking add-ons customers tap to include. Get these set up properly and your booking page does most of the qualifying for you.
Create a test booking
Before you send your link out, book yourself in. Two taps creates a test booking on your account so you see exactly what a customer sees, and you spot friction before they hit it.
Write your booking page tagline
The tagline is the short line sitting under your business name on the booking page. Two minutes of writing here is one of the highest-leverage changes you can make to whether visitors tap to book.
Connect Stripe to take deposits
Ask for a card deposit when a customer books, so the slot is secured and no-shows cost the customer, not you. Payments go directly to your own Stripe account.
Which phones support Tap to Pay
Tap to Pay lets you take a contactless card payment on your own phone. It works on most recent Android phones; this explains what a phone needs and what to do if yours is not eligible.
Take Direct Debit with GoCardless
Collect monthly Direct Debit for service contracts like boiler covers, alarm monitoring and garden maintenance. Lower fees than card, and no chargeback risk on standard Bacs collections.
Cancellation policy and deposit refunds
Your cancellation policy is shown to customers before they pay a deposit, so it has to be clear and you have to stand behind it. This guide covers writing one, holding unpaid slots, and processing refunds.
Set up discount codes
Run an offer like 10% off a service. You create the code, choose which services and dates it covers, set any limits, and your customer enters it when they book. The discount carries through to the final invoice automatically.
Take payment with Tap to Pay
Take card payments in person on your phone, with no separate card reader. The customer taps their card or phone on yours and the money settles through your connected Stripe account.
Set up missed-call text-back
Miss a call while you are on the tools and the caller automatically gets a text with your booking link, so you never lose the job to the next trade who picks up.
Set up customer reminders
Send automatic reminders before appointments so fewer customers forget. Pick the timing and the channel once, and TradeBooked sends them for you.
Set up rebooking reminders and campaigns
Turn one-off jobs into repeat work. Mark a service as recurring and customers get reminded automatically. On Autopilot, send targeted rebooking campaigns to win back past customers.
Turn on push notifications on your phone
Get a buzz the moment a customer books or replies. Install TradeBooked to your home screen, then enable push from the prompt (or from Settings > Notifications > Web push alerts).
Set up quote follow-ups
Chase quotes automatically so fewer go cold. TradeBooked sends a warm check-in email if a customer has not responded, and you can add SMS nudges on top.
Set up Message Assist
Message Assist rewrites your rough invoice notes into customer-ready sentences in your chosen voice. It never invents details and runs in about 30 seconds to set up.
Connect Xero or FreeAgent
Push your TradeBooked invoices and payments to Xero or FreeAgent so your bookkeeping is one source of truth. Set up once, then invoices sync as you finalise them.
Send invoices and job sheets
Finish a job, fill in the invoice sheet, and send a clean PDF. Solo covers a simple total and notes. Pro adds line items, VAT, CIS, discounts, photos and job sheets.
Set up VAT and CIS
Turn on VAT or CIS once in your business details, and the invoice sheet gives you the right controls per job: a VAT mode for VAT-registered traders, a deduction rate for CIS contractors.
Set up your materials catalogue
Save the parts and materials you use over and over. Pick one on an invoice to autofill the line, and (optionally) track stock so quantities drop when you use them.
Handle mid-job variations
When the job grows on-site, send the customer a variation link with the extra line items. They sign on their phone, the variation is authorised, and it rolls into the closeout invoice automatically.
Use the closeout link
Finish a job without a phone call. Send the customer a single closeout link and they confirm payment, sign sign-off, and (optionally) leave a review, all from their phone. The invoice is emailed automatically.
Add job photos and before/after tags
Take photos as you work and tag them Before, After or General against the booking. They appear grouped on the customer closeout page as proof of work and back you up if anything is queried later.
See job costing and margin per job
Add a cost price next to each invoice line and TradeBooked shows your gross profit and margin in real time. Catalogue items prefill the cost automatically. Owner-only, customers never see it.
Use Price Insight benchmarks
Before you send a quote or invoice, Price Insight shows what similar jobs in your postcode area have gone for. A non-intrusive sanity-check chip near the final price, not a forced suggestion.
Send your accountant pack
Email your accountant the month's pack of bookings, payments and unpaid CSVs in one tap. On Autopilot, schedule it to send automatically every month, with optional quarterly VAT and year-end packs.
Add compliance badges to your booking page
Show your trade credentials as trust badges on your booking page, so customers see you are registered and insured before they book. You can also get reminded before a credential expires.
Order branded workwear
Order your own branded workwear and merch through TradeBooked. Your logo goes on the gear, you pick what you want, and we print and post it to you.
Use your customer directory and history
Every booking adds the customer to your directory. Sort and search them by recent bookings or total spend, and on Pro keep notes and a full job timeline on every record.
Fix a broken integration
When an integration shows an error, it is almost always a token that expired or permissions that changed. This guide tells you what each status means and how to get the sync running again.
What changes when you switch plans
Upgrades take effect immediately and unlock new features straight away. Downgrades and cancellations follow a 30-day notice. Annual billing locks your current rate.
Edit your business profile
Your profile is what customers see on the booking page and in every email TradeBooked sends on your behalf. Keep your business name, town, phone and email up to date so nothing looks off.
Export your data or delete your account
You can export everything as a portable JSON archive at any time, and schedule full account deletion with a 30-day grace period you can cancel from an email link.
Read business analytics and the morning brief
Get the numbers without digging for them: revenue, bookings, average job value, repeat rate and profit, with month-over-month deltas. The morning brief sends a summary as a daily email in your chosen format.
Use the asset register
For trades that service the same kit again and again, keep a per-customer register: boilers, vehicles, consumer units, alarms. Pre-fills next-service reminders and underpins recurring jobs.
Use the vehicle MOT and VRM lookup
For mobile mechanics, type a UK registration and the vehicle's make, model, year and colour autofill from the DVSA register. On Autopilot, customers also get automatic MOT-expiry reminders.
Use socials auto post
Photos you flag on jobs line up as posts on your Social page. Approve them, schedule them, or turn on autopost and TradeBooked keeps your Facebook and Instagram ticking without you opening the apps.
Issue a Gas Safety Record (CP12)
Build and issue a statutory Gas Safety Record (CP12) directly from a job. Stored on the booking with a cert number, emailed to the customer as a PDF, with renewal reminders to keep landlords on the right side of the law.
Use Trade Assist
Trade Assist is an AI helper that answers quick technical questions for your trade while you are on the job. It stays scoped to your trade so the answers stay relevant.
Collect and show reviews
Your reviews appear in TradeBooked and on your booking page, where they help customers decide to book. On Autopilot, review requests can go out automatically after a job.
Issue a PAT testing record
Log portable appliance tests against a job and issue a tidy PAT record for your customer. It is evidence-grade documentation that supports your duties, not a statutory certificate.
Set up your scaffolder booking page
First ten minutes of using TradeBooked as a scaffolder: get your booking page live, add your NASC badge, connect Stripe for deposits, pick your default WAHR-15 inspection checklist, and set your default hire rate so the rest of the tools have something to work with.
When a customer books your scaffold
When a customer books a scaffold online, your booking page asks the right questions, you capture the using-party email at accept, and TradeBooked auto-creates the scaffold record plus its erection and strike events so the lifecycle starts cleanly.
Erect, handover and 7-day inspections
The legal core. Mark the scaffold erected, log the handover (with checklist, photos and signature), and let TradeBooked schedule the next routine inspection 7 days later. Alteration and weather inspections are additive, so they do not reset the clock.
What your scaffold customers see
Every scaffold gets a private public link (/s/<token>) for the customer and the using party. They can see status, sign the handover, and tap to extend hire by 1, 2 or 4 weeks. No login, no app, no friction.
Scaffold hire, invoicing and pavement licences
Hire is calculated in whole weeks from the date erected. "Invoice hire to date" pushes that figure straight onto the booking invoice. Pavement and highway licence end dates get a 3-day reminder, and the dashboard warns if your strike date drifts past the licence end.
Read the Scaffolds dashboard, calendar and map
The Scaffolds dashboard answers "what is up, where, and what needs inspecting" in one place. Six tabs, a map view, and scaffold events overlaid on your normal calendar.
Scaffold compliance: WAHR, TG20:21, SG4, CISRS
The standards TradeBooked's scaffold tools sit on: Work at Height Regulations 2005 (the 7-day rule), NASC SG28 (inspection and reporting), TG20:21 (tube and fitting design), SG4 (safe erection and dismantle), and CISRS (the card scheme proving your team is trained).

Set up your chimney-sweep booking page
The first 15 minutes for a chimney sweep on TradeBooked: get your booking page live, add your HETAS badge, confirm the sweep-aware questions on the booking form, and let the fuel-aware rebook engine handle the rest.
Issue a chimney sweep certificate
Per-job sweep certificate in two steps. Property and per-flue capture, then sign-off with your HETAS / NACS / Guild registration. The PDF is emailed to the customer (with landlord or agent cc), stored on the booking and feeds the fuel-aware annual rebook.
Build your customer flue register
Every chimney you sweep is its own durable record: appliance, fuel, construction, liner, last-swept, next-due. The flue register is the spine the fuel-aware rebook and the 30-second clone-last re-issue both run on.
Set up the fuel-aware annual rebook
Wood burns hotter, coal burns dirtier, smokeless burns cleaner. Sweep cadence has to match. TradeBooked sets the next-due per chimney based on the fuel and how often it is burned, then the cron nudges the customer with a one-tap rebook link.
Re-issue with clone-last and send an insurance pack
Two recurring-revenue wins paired in one article. Clone-last pulls every field from the previous cert on the same chimney so the re-issue takes 30 seconds. The insurance pack bundles every sweep cert on a property into a single PDF the customer can forward to their insurer or landlord.
What goes on a chimney sweep certificate
A chimney sweep certificate is an evidence-grade record, not a statutory document. This article explains the fields, the role of HETAS / NACS / the Guild of Master Chimney Sweeps, the safety boundary, and what insurers and landlords actually look for.
