Scaffolder troubleshooting and FAQ
The common "it did not do what I expected" moments for scaffolders, with a fix for each, plus the questions that come up on first use.
In a hurry? Quick steps
- No handover email? Both using-party and customer emails were probably blank. TradeBooked blocks handover when there is no recipient
- Cannot log inspection? Scaffold must be in Erected status. If still Planned, press Mark erected first
- Wrong extend week appeared? Check planned_strike_at is correct first
- Public link leaked? Email support@tradebooked.co.uk to rotate the token
Troubleshooting
The common edge cases when running real scaffolds through TradeBooked, with what each one means and how to fix it.
The customer did not get the handover email
Most likely cause: both the using-party email and the customer email were blank when the handover was logged. TradeBooked blocks handover in this case rather than ship a certificate to nowhere.
Fix: open the scaffold, add a using-party email (and customer email if missing), then re-log the handover inspection.
I cannot log an inspection
Most likely cause: the scaffold is still in Planned status. Inspections only apply to scaffolds that are physically up.
Fix: press Mark erected on the scaffold detail page once the scaffold is up. The Log inspection button then enables and the system prompts you to log the handover first.
The wrong week appeared in the extend options
The 1, 2 and 4 week extend buttons are calculated from the planned strike date. If the planned strike date is wrong, the maths is wrong.
Fix: open the scaffold, confirm the planned strike date is what you expect, edit it if not. The customer-facing extend page picks up the corrected date on next view.
A customer clicked Extend by mistake
Call them to confirm what they actually need. Then open the scaffold, press Extend hire, and set the strike date back to where it should be.
The /s/<token> link has been forwarded somewhere it should not be
Email support@tradebooked.co.uk with the scaffold reference and we will rotate the token. The old link stops working immediately; a new token is generated and the customer is emailed it.
Invoice hire to date is greyed out
The scaffold was created manually (via New scaffold) rather than through a customer booking, so there is no origin booking to push the hire line onto. The tooltip reads: "No origin booking - invoice hire manually from a regular booking".
Fix: open or create a booking for that customer, add a Scaffold hire line manually (quantity = weeks up, rate = your weekly hire rate), and send the invoice. See "Send invoices and job sheets".
Common questions
Can I customise the 15-item checklist?
Yes, per scaffold type. Today it is via the checklist templates API; a settings page is on the roadmap. WAHR-15 stays as the default until you change it.
Do customers need a TradeBooked account?
No. The /s/<token> link is enough. Customers and the using party can view, sign and extend without logging in or downloading anything.
What if the customer and the using party are different people?
That is the normal case. You capture both at booking accept. The customer pays and gets the invoice; the using party signs the handover and gets the pre-strike nudge. See "When a customer books your scaffold".
Can I bill weekly automatically?
Not in v1. Use the Invoice hire to date button when you want to bill. Automatic weekly invoicing is on the roadmap.
What happens to the scaffold 90 days after strike?
The public /s/<token> page becomes a small contact stub asking the viewer to contact you directly for a copy of the handover certificate or inspection records. The data stays on your account; only the public surface degrades.
Can I issue a handover for a scaffold I did not take a booking for?
Yes. Press New scaffold on the Scaffolds dashboard, fill in the details, then run the rest of the workflow (Mark erected, Log handover, etc.) as normal.
Can I add my NASC or CISRS details to the certificate?
The handover PDF picks up your business name, logo and contact details automatically. Dedicated NASC and CISRS fields on the certificate body are on the roadmap; for now, use a custom credential (see "Add compliance badges to your booking page") so the badge sits on your booking page and on customer-facing surfaces.
I think my dashboard count is wrong, what should I do?
Refresh the page. If the count still looks wrong (for example a struck scaffold appears under Live), open the scaffold and re-check its status. Email support@tradebooked.co.uk if it is genuinely stuck.
Can I delete a scaffold?
Not in v1. Marking it Off hired removes it from the Live tab and effectively retires the record. If you genuinely need a scaffold removed, email support@tradebooked.co.uk.
What plan do I need?
The scaffold tracker is on the Pro and Autopilot plans. Public surfaces (the /s/<token> link) need no plan or login for the customer.
