Keep track of your van stock

Count the parts and materials you carry on the van. Stock comes off by itself when you send an invoice with those items on it, and anything at or below the low level you set goes on a restock list you can send to your merchant.

What it does

Van stock keeps a running count of the parts and materials you carry, the fittings, fixings, MCBs and tubes of sealant you burn through every week. It works on top of your materials catalogue: you choose which catalogue items to count, and each one gets a quantity and a low level.

When you send an invoice with a counted item on it, the quantity comes off by itself. When an item drops to its low level, it goes on a restock list you can send to your merchant from your phone.

Why it is worth setting up

Running out of a part halfway through a job costs you a trip to the merchant and an hour you cannot bill. A count that keeps itself up to date, and a list of what is low ready to send, means you restock before you run out instead of after.

Before you start

You will need:

  • A TradeBooked account on the Pro or Autopilot plan (it is also on during your free trial)
  • A few items in your materials catalogue. Van stock counts catalogue items, so anything you want to count has to be in there first
Van stock is offered to every trade except scaffolders. Scaffold yard kit goes out and comes back rather than getting used up, so scaffolders use the Scaffolds tracker instead.
On Solo you keep the materials catalogue as a price book. The counting, restock list and stocktake below are on Pro and Autopilot.

Common questions

Will TradeBooked tell me when something runs low?

Not by text, email or push. Low items show a Low badge and go on the restock list on the Van stock screen, and on the web the Van stock card on your Overview page shows how many are low.

I sent an invoice but the count did not go down. Why?

Stock only comes off for lines picked from your price book, for items that were tracked when you sent the invoice. A line typed by hand, or one whose description you changed after picking it, is not linked to the catalogue. Take the item off by hand with the minus button.

What does Owed mean?

The count has gone below zero, so you used more than the app thought you had. Do a stocktake to put the real number in.

If I untrack an item, do I lose its count?

No. Untracking stops counting the item and takes it off the restock list, but the count and its history are kept if you track it again later.

I am a scaffolder. Where is Van stock?

Van stock is not offered to scaffolders, because yard kit goes out to site and comes back rather than getting used up. Use the Scaffolds tracker instead.

What plan do I need?

Van stock is on the Pro and Autopilot plans, and during your free trial. The materials catalogue on its own is included from Solo.
