Connect GoCardless and offer your services as a plan customers pay monthly by Direct Debit. Set the amount and the collection day on the service, and it collects on the due date until the customer cancels. Good for cover plans and regular maintenance, and cheaper than cards.

Setting it up

  1. 1Open Settings, then Integrations, and connect GoCardless. If you do not have an account yet, there is a link to set one up from the same place.
  2. 2Wait for Bacs verification. GoCardless usually clear it in one to three working days, and the Direct Debit option stays hidden from customers until they do.
  3. 3Open Settings, then Services, and turn on Recurring billing for the service you want to offer as a plan. Set how often it collects, how much, and which day of the month.
  4. 4Invoice the customer for that service as normal. They will see Pay by Direct Debit alongside the usual ways to pay.
  5. 5They set it up once on the GoCardless page. After that it collects on your chosen day until it is cancelled.
  6. 6Every collection marks itself paid in TradeBooked and the invoice carries on to FreeAgent or Xero if you have one connected.

Frequently asked questions

When does a Direct Debit suit the work, and when does it not?
It suits anything the customer pays for again and again on a set rhythm: a boiler cover plan, alarm monitoring, a garden kept up through the year, a monthly clean. It does not suit a one-off job, a deposit, or an amount that changes every time. Those are still card, Tap to Pay or bank transfer.
How soon does the money arrive?
The first collection takes at least four working days from the customer setting it up, because that is how Bacs works. Every collection after that takes two working days. GoCardless pay it into your bank once it clears.
What does the customer have to do?
Once. They tap Pay by Direct Debit on your invoice, enter their bank details on the GoCardless page, and that is it. GoCardless tell them what will be taken and when, and the Direct Debit Guarantee covers them the same as any other Direct Debit.
What if a payment fails?
You get told, and you can see it on the customer record. Most failures are a customer short that month rather than anything wrong with the plan, so the usual answer is a quick word with them. If the Direct Debit itself has been cancelled, the plan stays on file and they will need to set a new one up before collections restart.
The customer already pays me by Direct Debit. Do they set up another one?
No. If they already have one with you, TradeBooked offers to use it rather than sending them back to the bank details screen. One Direct Debit can cover more than one plan.
How long does it run, and how does it stop?
Until it is cancelled. That is what makes it suit cover plans and regular maintenance. The customer can cancel at their bank whenever they like, and you can cancel it for them from their customer record.
Does a Direct Debit payment reach my accounts?
Yes. Each collection lands as a paid job in TradeBooked, and the invoice goes on to your connected accounting software. On Xero the payment is recorded against it. On FreeAgent the invoice stays open, and your GoCardless bank feed settles it there.
